Importance Of Effective Contractor Management

Posted on July 16, 2012 | in General | by

A lot of organizations employ contractors to be in charge of all or some of their facilities. The welfare, safety, and health of all those involved can be guaranteed through effective contractor management. Planning is one of the important aspects that involve taking safety and health into consideration.

This is how risks associated with the work are identified, necessary control measures are determined and risk evaluated, the required training, instruction, and information determined, coordination between all parties can be achieved and how cooperation is identified, required safety and health conditions or requirements are determined, and how the supervision of contractors as well as what needs to be done to manage them effectively is determined.

The price should not be the basis when choosing one. Organizations should make sure that the contractors are capable of performing the work safely. The work that needs to be carried out will be the basis of the degree of competence needed and how it will be evaluated. There are some details that organizations should ask potential contractors to provide them with.

These details include their experience of the same work, their safety and health arrangements and policy for managing safety and health, and how they control risks and perform assessments. In addition, potential contractors should inform them about their safety and health performance including information on mishaps, skills and relevant qualifications of people who will perform the task, and the safety and health information and training they provide to workers.

Contractors should do a proper risk assessment and come up with method statements when necessary earlier before the work once they are employed. Clients should provide relevant details so that the contractor will be able to assess all the work-related risks and so they should work together at this phase. It is not advisable for clients to allow contractors to show up and proceed with their job. Clients should know where these contractors will be working and who those on site are.

The risks associated with the task being taken care of will have an impact on the on site effective contractor management. Hiring a contractor to come on site for the purpose of watering the plants in an office is not as demanding as hiring an engineer to take care of lift maintenance. Whenever contractors arrive and leave, they should sign in and sign out. Also, contractors should know their site contact.

This is necessary in case or an emergency or an accident so that they have someone to contact with regularly. Contractors should know relevant requirements and safety information including the details of any risks that they will encounter while on site, what should be done in case of other emergency or fire, first aid arrangements and accident reporting, distinguishing areas or restricted area where workers may be working, and housekeeping as well as waste disposal arrangements.

A formal induction may be necessary. However, this will depend on the nature of the work that the contractor will perform and the site. It is no longer surprising why organizations make use of effective contractor management.
